Change the Names of Affinity Fields

Location

Administrator > Dictionary/Field Label Editor

Purpose

The Dictionary/Field Label Editor lets you rename default system field labels so they’re more meaningful.

How to do it

Select the table name from the Table Name lookup (or type the table name into the lookup). All of the fields and lookups in that table appear. Make the changes then apply and close.

How to Use the Allowance/Deduction Comments

Payroll > Masterfiles > Employee Details

How to do it

The Comment field in the employee masterfile is a great way to identify payments to employees or external organisations like the IRD or ATO.

  • For deductions paid to an external organisation, what you enter here identifies the payment on their bank statement.
  • Where multiple employees pay the same deduction to the same organisation (say child support), enter the employee’s IRD number here.
  • If the SUPR01 informational code is used, enter the employee’s fund member number as a comment (essential for SuperStream).

Affinity Self Service Leave > Team Leave Calendar

Purpose

The Team Leave Calendar lets you view upcoming approved leave for people who report to the same manager as you. It does not show details such as hours taken, comments or the type of leave. It just shows who is on leave and when:

About the 28 Annual Leave Report

Reports > Standard Reports

Purpose

This report calculates an organisation’s annual leave liability for the period end.

Pay Code of the Month: IRDNCP

IRDNCP is the standard code for New Zealand child support deductions. Add it to the Allowances/Deductions tab in the employee’s masterfile (along with the rate specified by the Inland Revenue Department) and enter the employee’s IRD number (or other reference) in the Comment field.
